Assistant Rural Health Clinic (RHC) Coordinator
Position Summary
The Assistant Rural Health Clinic Coordinator supports the RHC Coordinator and Clinic Director in the daily operations, regulatory compliance, and performance management of the Rural Health Clinic. This role helps ensure efficient clinic workflows, high-quality patient care, and adherence to federal and state RHC guidelines. The Assistant Coordinator serves as a key liaison between clinical staff, front office, and leadership to maintain continuity of operations in a fast-paced rural healthcare environment.
Key Responsibilities
Operational Support
- Assist in overseeing daily clinic operations to ensure efficient patient flow and access to care
- Support staffing coordination, including scheduling adjustments and coverage needs
- Monitor clinic workflows and identify opportunities for process improvement
- Step into operational roles as needed to maintain clinic function during staffing shortages
Regulatory & Compliance
- Support compliance with CMS Rural Health Clinic Conditions of Participation
- Assist with preparation for audits, surveys, and regulatory reviews
- Ensure proper documentation standards are followed by clinical and front office staff
- Maintain awareness of Texas state regulations impacting RHC operations
Quality & Performance Improvement
- Assist with quality improvement initiatives, including care gap closure, AWVs, and chronic disease management programs (e.g., CCM/TCM)
- Participate in chart audits and documentation reviews to ensure compliance and accuracy
- Track and report clinic performance metrics (patient volume, no-show rates, quality measures)
- Support implementation of evidence-based practice initiatives
Revenue Cycle & Billing Support
- Assist in monitoring front-end and back-end revenue cycle processes
- Ensure proper use of RHC billing requirements, including HCPCS/CPT coding and documentation support
- Help track authorizations, referrals, and payer requirements
- Support point-of-service collections and financial workflow adherence
Staff Support & Training
- Provide guidance and support to front office and clinical staff on workflows and expectations
- Assist in onboarding and training of new employees
- Reinforce clinic policies, customer service standards, and team accountability
- Promote a culture of teamwork, professionalism, and patient-first care
Patient Experience & Communication
- Address patient concerns and assist in service recovery when needed
- Ensure excellent customer service standards are upheld across all roles
- Support patient communication initiatives such as portal enrollment and follow-up processes
Leadership Support
- Act as a liaison between staff and leadership to ensure clear communication
- Assist with implementation of new programs and operational changes
- Step in for the RHC Coordinator in their absence as delegated
Qualifications
Education
- Associate’s or Bachelor’s degree in nursing, Healthcare Administration, or related field preferred
Experience
- Minimum 2–3 years of experience in a rural health clinic, outpatient clinic, or healthcare setting
- Experience with RHC workflows, Medicare/Medicaid, and insurance processes preferred
- Prior leadership or supervisory experience strongly preferred
Licensure (if applicable)
- Licensed Vocational Nurse (LVN) or Registered Nurse (RN) preferred but not required
Knowledge, Skills, and Abilities
- Strong understanding of RHC operations and regulatory requirements
- Knowledge of electronic medical records (EMR) systems and clinical workflows
- Ability to analyze workflows and implement process improvements
- Strong communication and conflict resolution skills
- Ability to multitask and function effectively in a fast-paced rural setting
- High level of professionalism, accountability, and teamwork
Work Environment
- Fast-paced rural health clinic setting within a critical access hospital district
- Requires flexibility to adapt to staffing and patient care needs
- May require occasional extended hours based on clinic demands
Physical Requirements
- Prolonged periods of standing, walking, and sitting
- Ability to assist in clinical or operational tasks as needed
- Occasional lifting of up to 25 pounds
