What You'll Do In This Role:
Join our team as an Administrative Assistant and play a key role in creating a warm, welcoming environment for older adults, their families, and the nonprofit organizations that serve them. This position combines customer service, administrative support, and community engagement, offering the opportunity to make a meaningful impact while helping ensure smooth day-to-day operations and an exceptional visitor experience.
Key Responsibilities
- Greet and assist visitors, participants, and staff from a variety of on-site non-profit agencies in a courteous and professional manner.
- Answer and direct incoming phone calls promptly and politely, efficiently routing inquiries to the appropriate organization within the building.
- Maintain a clean, organized, and welcoming reception area and shared multi-agency office spaces.
- Receive deliveries and manage incoming/outgoing mail distribution for all tenant organizations.
- Perform general administrative and secretarial duties to support diverse team members and multi-departmental operations across the building.
- Maintain accurate records of visitor interactions and building-wide communications.
- Manage shared office filing systems and ensure cross-agency documents are organized and securely accessible.
- Take inventory of shared office supplies and coordinate restocking as needed.
- Operate standard office equipment including computers, fax machines, copiers, and printers utilized by the building's various agencies.
- Become proficient in the use of relevant business software, multi-line phone systems, and internal tracking systems.
- Monitor the main entrance and shared areas, reporting suspicious individuals or information to the appropriate administrative authority promptly to ensure a safe environment for vulnerable participants and staff.
Skills, Knowledge & Expertise
- Two to three years of relevant office experience, preferred
- High School Diploma or equivalent, required.
- Associate’s degree, preferred.
- Must possess current CPR certification by AHA or be willing and able to obtain as offered by LifeCircles.
- Reliable transportation and a current valid Michigan's driver's license.
- Excellent communication skills with individuals of all ages, especially the geriatric population.
- Highly organized and self-directed professional with strong critical thinking, problem-solving, flexibility, creativity, and a commitment to maintaining high ethical standards.
