Job Description
Project Workflow & Tracking
- Manage daily project tracking, scheduling, ensuring all milestones, timelines, and deliverables are meticulously updated across company and industry databases.
- Work with Accounts Receivable and the Billing Department to make sure all revenue is accounted for and accurate
- Building job packets for field team
- Coordinate work completion with field team in order to prepare packets to submit to billing
- Prepare invoices
- Coordinate the end-to-end workflow of wireless projects, from initial routing and permitting to final closeout documentation.
- Review, organize, and input high volumes of technical field data, photos, and closeout packages with a strict focus on accuracy.
Communication & Follow-Up
- Serve as the primary hub for back-and-forth communication between project managers, field supervisors, subcontractors, and clients.
- Execute rigorous, proactive follow-ups on missing deliverables, documentation, or client approvals to prevent project bottlenecks.
- Maintain comprehensive paper trails of project changes, approvals, and material requests.
Administrative & Software Support
- Utilize Microsoft Office (especially Excel) Smartsheet and Google Workspace daily to create reports, track budgets, and manage documentation schedules. Other software may be utilized depending on the project.
- Verify the accuracy and perform quality checks of the various payroll, production, and billing information
- General office duties
- Adapt quickly to internal proprietary software systems and client-specific databases to input and retrieve project updates.
