We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will possess excellent communication skills, be proficient in multitasking, and have a strong work ethic.
Two years of related experience and/or training; or equivalent combination of education and experience involving serving as an administrative assistant/receptionist, computer operator in an administrative environment, and customer-focused environment.
Essential Duties and Responsibilities:
- Initiate contact with staff and address their needs.
- Greet and direct visitors in a professional manner.
- Plan and prepare for meetings, including coordinating schedules and logistics.
- Respond promptly to management requests and manage time efficiently.
- Identify and anticipate problems, providing effective resolutions.
- Maintain excellent verbal and written communication with both internal and external stakeholders.
- Work effectively in a fast-paced environment, managing multiple tasks and demands.
- Interface well with customers and all departments, representing the company professionally.
- Take and relay messages accurately.
- Provide callers with the necessary information about the company.
- Type memos, correspondence, reports, and other documents accurately.
- Handle mail distribution and prioritize tasks accordingly.
- Coordinate pick-up and delivery of express mail services.
- Manage office supplies inventory and ordering process.
- Perform clerical duties such as photocopying, faxing, filing, and collating.
- Set up and maintain an organized file system.
- Work efficiently with minimum supervision and demonstrate self-checking capabilities.
- Show willingness and ability to learn new tasks and responsibilities.
Qualifications:
- Minimum of two years of related experience in administrative roles or equivalent training.\
- Highly organized and detail oriented.
- Proficiency in operating office equipment and computer software MS Office applications.
- Ability to prioritize tasks and meet deadlines consistently.
- Majority of work is performed in an office setting with occasional visits to shop areas.
Education: High school diploma or equivalent.
