Job Specification for Receptionist/Administrator

Job Purpose

The role combines front desk reception with administrative support to ensure smooth day to day operations.  It involves maintaining a positive and friendly company image by acting as the first line of contact to customers, visitors and vendors in person, online, and via telephone.  Whilst also performing other administrative duties such as travel and hotel bookings, arranging meetings and events, organising buffets, preparation of quotations and general administrative duties.

Key Responsibilities

  • Greet visitors, clients and contractors in a professional and friendly manner
  • Manage the reception area to ensure it is tidy, welcoming and presentable
  • Answer, screen and direct incoming calls and emails
  • Handle visitor sign in procedures and maintain security protocols
  • Provide general information and assistance to visitors and staff
  • Help and organise Company events, training sessions or travel arrangements
  • Manage 24/7 on call rota for out of hours support ensuring cover is in place
  • Handling customer RFQ’s  and then prepare and issue quotations for spare parts and training  

Skills and Competencies

  • Professional, calm and approachable manner
  • Excellent time management skills with the ability to multitask
  • Exceptional communication and customer service skills
  • Proficiency with Microsoft Office
  • SAP knowledge (preferred)
  • CRM experience (preferred)
  • Discretion and respect for confidentiality

Experience & Qualifications

  • Previous experience in a receptionist, administrative or customer facing role is essential
  • 5 GCSE’s grade 4 or above
  • NVQ Level 3 in Business administration (preferred)
