Overview:
RMIT Vietnam is looking for Events Operations Support to provide temporary, hands-on support during peak university event periods, assisting with event setup, logistics coordination, venue preparation, and on-site operations to ensure major events are delivered safely, smoothly, and in line with approved plans.
This position is offered as a 6-month contract and will be engaged through a third-party provider.

POSITION SUMMARY
The Events Operations Support (Contingent Worker) is a project-based support role established to provide temporary operational assistance during peak university event delivery periods.
The position supports specific event projects and high-volume operational periods where additional short-term workforce support is required to assist with event setup, logistics coordination, venue preparation, and on-site operational delivery.
Working under the supervision of the University Events - Operations team, the role provides hands-on support across selected major university events and operational projects, helping ensure event activities are delivered safely, efficiently, and in alignment with approved operational plans and university requirements. This position is established on a temporary contingent basis to support time-bound operational demands and does not represent an ongoing operational staffing requirement.
Key Accountabilities
Event Setup & Installation Support
- Assist with setup and dismantling of event infrastructure, including: Staging elements Signage and branding materials, Furniture, barriers, and event equipment, Basic AV-related setup support under supervision.
- Support loading, unloading, transportation, and movement of event equipment and materials.
- Assist in implementing approved event layouts and setup plans.
- Support venue preparation and reinstatement activities before and after events.
Logistics & Operational Coordination Support
- Assist in preparing event materials, operational supplies, and equipment for event delivery.
- Support coordination of setup schedules, equipment delivery timing, and access arrangements.
- Follow up assigned operational tasks with vendors or internal stakeholders under supervision.
- Assist in maintaining operational checklists, inventory tracking, and setup records.
- Provide progress updates and escalate operational issues to the events Operations team where required.
On-site Event Operations Support
- Provide hands-on operational support during rehearsals and live event periods.
- Support backstage preparation areas and operational holding spaces.
- Assist with basic crowd flow guidance and attendee movement under instruction.
- Perform runner and rapid-response support tasks during live operations.
- Monitor assigned areas and report operational issues for timely resolution.
- Support smooth event flow by responding to changing operational requirements during live events.
Teardown & Site Reset
- Assist with safe dismantling and pack-down of event infrastructure and operational areas.
- Support packing, return, and storage of event materials and equipment.
- Assist in restoring venues and event spaces to original conditions following event completion.
- Support post-event operational checks and equipment accountability processes.
Other Duties
- Support the University Events team with assigned operational and event-related tasks as required.
- Contribute to continuous improvement initiatives by sharing operational observations and feedback.
- Ensure compliance with RMIT policies, procedures, and behavioural expectations.
Key Selection Criteria
- Experience supporting events, logistics, operations, or customer service activities.
- Ability to perform physical operational tasks, including lifting and moving event equipment.
- Ability to work effectively in fast-paced and changing event environments.
- Good teamwork and communication skills.
- Ability to follow instructions accurately and support basic coordination tasks.
- Reliable, proactive, and willing to learn.
- Ability to work flexible hours, including evenings and weekends, based on event requirements.
- Basic communication skills in English and Vietnamese.
