Salary: $20 to $25 per hour,  Depending on Experience

POSITION SUMMARY
We are seeking a highly motivated and professional individual to join the Executive Suites team as a Hospitality Coordinator. This role is responsible for supporting the full scope of Suites operations, providing high-quality customer service to our distinguished guests, including donors, VIPs, and celebrities. The role will also include administrative responsibilities in supporting the Development team with logistics, scheduling and other duties as assigned. Additional responsibilities related to the suites will include offering concierge services, ability to host VIP guests on a brief overview tour of the museum, assisting with guest reservations, supporting front desk coverage, maintaining accurate data entry and administrative records, managing inventory and overseeing quality standards. The Hospitality Coordinator serves as a key liaison between guests, housekeeping, and internal museum departments, ensuring all spaces are prepared to the highest standard and all guest needs are anticipated and met with excellence. This role requires strong attention to detail, operational awareness, and a commitment to maintaining a polished, welcoming, and well-managed environment. 

** Schedule note: Standard weekly schedule for this position is Tuesday – Saturday.

DUTIES & RESPONSIBILITIES

Guest Services & Concierge Support:
  • Greet and assist guests in a professional and courteous manner, providing personalized services such as local recommendations, transportation arrangements, and special requests.
  • Anticipate the needs of VIPs, donors, and celebrities to ensure a seamless and luxurious experience.
  • Serve as the primary point of contact for guests during their stay, resolving requests promptly.
Suites Operations & Coordination:
  • Support the day-to-day operations of the Suites, ensuring all spaces are maintained to the highest standards of presentation and readiness.
  • Coordinate with internal departments to support guest visits, events, and special accommodation.
  • Support front desk and reception coverage.
Administrative & Data Management:
  • Manage guest reservations and maintain accurate records in systems such as Cloudbeds and Salesforce.
  • Process suite requests, confirmations, and pre-arrival communications.
  • Track and document guest visits, preferences, and operational data to support reporting.
  • Assist with documentation, SOPs, and process improvements to enhance operations.
  • Collaborate with the VIP Services team to ensure effective communication and coordination with high-profile guests.
  • Assist with writing thank-you notes, invitations, and correspondence for museum donors and VIP guests.
  • Assist the Director of Strategic engagements with administration, logistics and other duties as assigned for the department as a whole.
Interacting with High-Level Guests & Executive Staff:
  • Establish and maintain positive relationships with high-level donors, museum executives, and VIP guests.
  • Ensure guest privacy and confidentiality are always maintained.
  • Trained by museum docent team on providing a high-level tour of the museum to VIP guests.
  • Support Executive Suites leadership in managing high-level visits, ensuring all logistics are executed flawlessly.
Other Duties as Assigned:
  • Provide additional support for special events, exhibitions, and museum activities as needed.
  • Participate in staff meetings and trainings to stay informed on museum and Suites’ policies.     
QUALIFICATIONS & REQUIREMENTS
 
Knowledge
  • Associates Degree required.
  • 2 years customer service required; hospitality experience preferred.
Skills / Core Competencies
  • Excellent verbal and written communication skills.
  • Exceptional customer service and hospitality skills.
  • Proven ability to exercise high level of discernment.
  • Ability to operate and present oneself in an extremely courteous and professional manner.
  • Highly organized with the ability to prioritize and meet multiple concurrent deadlines.
  • Be thorough and detail oriented.
  • Ability to solve problems calmly and efficiently.
  • Be self-driven and can work in a team with little supervision.
  • Proficient in Microsoft Office.
Abilities / Attributes
  • Able to work evenings and weekends.
  • Be able to walk/stand for extended periods of time and lift 50lbs. (Must be able to push a fully loaded luggage cart up the ramp).
