Key Responsibilities
The incumbent will be posted to work in ward(s) and operationally reported to the Department Operations Manager of a clinical department.
- Provide administrative and management support to the department.
- Maintain and operate the Surgical Instrument Tracking System (SITS), SITS mobile, departmental webpage, cloud systems, and other related electronic platforms.
- Prepare the data for SITS report, assist in the coordination of SITS activities and supervise, train and provide technical support to staff on SITS, departmental webpage and other information systems.
- Process, verify and compile data and report using in-house systems and HA wide systems including Enterprise Resource Planning System (ERPS), Ward Easy, Product Tracking & Tracing (PTNT), BigboXX, Computerized Maintenance Management System (CMMS), Inventory Control System (ICS), Surgical Instrument Tracking System (SITS), and e-Allowance system, etc.
- Assist in coordinating, training and supervision of clerical and supporting staff.
- Assist in developing educational materials, provide coaching for clerical and supporting staff to perform various clerical duties and facilitate them in adaptation of working environment.
- Compile statistics and conduct analysis such as Key Performance Indicator (KPI) statistics.
- Conduct and assist in product sourcing, procurement, quotation request, tender exercise and asset management.
- Coordinate the day-to-day work within the department including:
a. Assist in carrying out clerical duties in department, including general clerical work and support, filing, message receiving, cost/budget planning and monitoring the work's progress, supplies and related stores keeping and inventory checking.
c. Assist in management of IT and non-IT assets and related maintenance issues.
d. Assist in the handling and maintenance of correspondence and documentary control.
e. Assist in yearly stock take and compile for the consumption report for department. - Assist in the implementation of smart hospital initiatives to facilitate the development of smart ward.
- Handle enquires and communicate with suppliers, contractors, visitors and public.
- Perform any other duties assigned by supervisors.
Entry Requirements:
| (i) | University Graduates with experience; OR | ||
| (ii) | F.5 / S.5 with: | ||
| (1) | HKCEE 5 passes including English Language (Syllabus B) and Chinese Language; or | ||
| (2) | 5 subjects in HKDSE attaining the level specified below: | ||
| — | Level 2 in English Language & Chinese Language; and | ||
| — | Level 2 in New Senior Secondary subjects / “Attained” in Applied Learning subjects (subject to a maximum of 2 subjects under this category) / Grade E in Other Language subjects; or equivalent | ||
| AND diploma in a specialized function AND relevant clerical experience |
Preferred Attributes/Exposure:
- Proficiency in PC office applications (e.g. MS Word, Excel, PowerPoint) and word processing (both Chinese and English).
- Possessed relevant knowledge or experience in planning, organizing and participating in project and event management.
- Possessed knowledge on common software for graphic design / website building / video editing (e.g. Photoshop, Illustrator, Premiere Pro).
- Knowledge of HA IT systems such as ERP, PTNT, EAM, CMMS, ICS and e-allowance system.
- Knowledge of ERP procurement recording, process and tracking of document.
- Good command of written and spoken English, Cantonese and Mandarin.
- Good organization, interpersonal and communication skills.
- Mature, responsible, self-motivated and able to work independently.
- Experience in data analysis and compiling statistics, equipment management.
- Ability to organize work and supervise junior clerical staff, perform multi-tasking and work under pressure.
