Administrative Assistant for Operations and Transportation - Central Office
Job Description
Seeking an Administrative Assistant for Operations and Transportation for a full time position at Central Office, beginning July 1, 2026. This position is 260 days per year, Monday - Friday.
Position Purpose
The Administrative Assistant for Operations and Transportation provides comprehensive administrative support to both the Transportation department and Operations department.
Essential Functions:
- Maintains and prepares transportation records and reports.
- Creates monthly transportation calendar for districtwide needs.
- Schedules bus/van inspections.
- Communicates with parents, drivers, and administrative team of updates and changes to scheduling.
- Reviews, prepares, and processes purchasing documents.
- Solicits quotes and manages vendor relationships through the full procurement cycle, including on-site meetings with estimators and collection of required documentation (e.g., W-9s) for new vendors.
- Serves as a point of contact for outside contractors (trades, service vendors, etc.), coordinates site access, schedules work, and tracks jobs through to completion.
- Audits work orders in FMX to ensure accuracy and completeness; assists the maintenance and operations team with task prioritization, and serves as a liaison for outsourced work when jobs exceed in-house capacity.

Qualification Profile
- High School Diploma or GED required
- Experience supporting multiple functions/departments preferred
