We’re looking for an experienced Executive Assistant to provide executive support to two Executive General Managers (EGMs) within our People, Performance & Reputation business unit. In this role, you’ll anticipate needs, manage critical stakeholder relationships and operate with confidentiality and autonomy. You’ll be part of a supportive, collaborative team that values inclusivity, and a good culture, while delivering exceptional support to senior leaders. This is a permanent opportunity based in Gadigal Country (Darling Park 2, Sydney) working 4 days in the office.
What You'll Do
- Deliver high quality, intuitive executive support to EGMs , with a strong focus on proactive diary management, clear agenda setting and meeting intent, and ensuring all materials are prepared and provided ahead of meetings.
- Coordinate meetings and team events, ensuring seamless end to end logistics including preparation of materials, attendee management, room/technology bookings and catering.
- Prepare agendas, capture accurate minutes and drive action item follow through to support effective decision making and governance.
- Manage the cadence of Board, Board Committee, Group Leadership Team and Leadership Team meetings, ensuring all key dates, deliverables and milestones are proactively diarised and executed.
- Oversee the creation, quality control and timely submission of critical papers and reports including Board and executive management papers, ensuring alignment with governance standards and deadlines.
- Manage travel arrangements, including flights, accommodation, visas and detailed itineraries, with a focus on efficiency and prioritisation.
- Maintain highly confidential filing systems and documentation using platforms such as OneNote, exercising sound judgement and discretion at all times.
- Coordinating trans-Tasman team events, facilitating onboarding for new team members, and actively contributing to a positive, high performance team culture.
What You'll Bring
- Strong time management skills and the ability to thrive in a fast-paced, dynamic environment
- Extensive experience in Executive support for Senior Leadership
- Strong business acumen with ability to make sound judgement and quick decisions.
- Exceptional communication and interpersonal skills to build trust and maintain transparency
- Advanced proficiency in Microsoft Office (PowerPoint, Word) for creating executive-level documents and presentations
- A proactive mindset with the confidence to anticipate needs, offer support and hold boundaries effectively
- Flexibility and adaptability to manage competing priorities and changing demands with ease
- A sense of urgency with the ability to work under pressure
