Job Description
Your Role:
The Program and Student Services Coordinator supports students from colleges and universities across the United States, ensuring they have the best possible experience while studying for one term of their degree at our centre located in Griffith College, Dublin 8. Responsibilities include some academic administration, with a focus on program and student services. The role demands strong administration, communication and people (soft) skills. This role is especially exciting for someone with an interest in international education and provides the reward of seeing students grow and succeed during their time abroad.
What You’ll Do:
Key Student Services Duties:
- Work alongside all members of the Dublin Team to plan and develop short-term and semester-long programs. Tasks will require the use of different systems such as Salesforce, Sharepoint, as well as Microsoft Office, particularly Excel.
- Provide assistance and guidance to students throughout their study and working abroad experience, including logistical and initial emotional support.
- Proactively create a welcoming, caring, safe, and supportive environment in which a diverse student body are best prepared to achieve academic success
- Respond to student queries and concerns in a friendly, timely and expert manner
- Attend occasional evening and weekend social events
- Creatively develop, manage, and participate in student activities and excursions
- Develop student materials, events, and other initiatives that help all students engage fully in their academic and social program abroad
- Create weekly memos
- Create RVP and excel sheet to maximize student participation
Key Program Services Duties:
- Organize and book excursions, events and tickets based on program events
- Build and maintain suppliers/contacts database, research and scope new venues for student events, build relationships with new and existing suppliers, and negotiate competitive pricing and high quality service
Other Duties:
- Act as a member of CEA CAPA’s crisis management team on a rotational basis, providing 24/7 emergency support to all Dublin students when on shift. (CEA CAPA provides training and has clearly established protocols for managing such situations. Back up support is available for difficult situations.
- In collaboration with the Director and the team in Dublin and Stateside, ensure that student materials are inspiring and accurately represent the philosophy and ambitions of CEA CAPA in Dublin
What Makes a Great Candidate:
- Familiarity and knowledge of Dublin and Ireland
- The legal right to work in Ireland
- Knowledge of the US education system (preferred)
- Prior experience working with students (preferred)
- International travel and work abroad experience preferred
- Strong administration skills and office experience; comfortable with navigating and using operating systems; adaptable / enjoy learning new systems and procedures
- Solutions-oriented and can work under pressure
- Strong digital technology skills including high proficiency in Microsoft Office 365 software and a familiarity with databases
- Excellent customer services skills and a strong interest and ability to work with people, particularly international university students
- Strong critical thinking and problem-solving skills
- High empathy levels, and a genuine enthusiasm desire to connect with and advocate for a diverse student body predominantly from US I colleges
- A high degree of professionalism and strong verbal and written communication skills
- A high level of thoroughness, accuracy, and consistency in work produced
- Confident with data gathering and report writing
- Ability to work independently and use initiative yet available to work as a member of a small team. Comfortable with supervision and direction when required ; the implicit understanding when independence or teamwork is needed to achieve objectives
- Ability to manage workloads effectively under pressure, and handle challenging situation.
- Confident in fast-paced or fluid environments
- A willingness to work outside of regular office hours, at busy times of the year as well as when attending events or dealing with urgent student issues
