A Brief Overview

Serves as a strategic partner to senior leadership by providing high-level executive support and ensuring effective coordination across local teams, corporate headquarters, and external stakeholders. Drives initiatives that enhance operational efficiency, supports business priorities, and facilitates cross-functional alignment. Actively engages with the business to anticipate needs, contribute to strategic decision-making, and strengthen collaboration across key functions. Additionally, provides oversight of essential office operations and resources to maintain a business-ready office environment.


What you will do

  • Provide high-level executive support to senior leadership, including preparing complex reports, presentations, and business documentation.

  • Manage executive calendars, travel arrangements, and expense reporting for leadership.

  • Facilitate governance activities by organizing leadership meetings, preparing agendas, and tracking action items.

  • Engage with business leaders to anticipate needs, enable decision-making, and support strategic initiatives.

  • Coordinate communication and alignment between local teams, corporate headquarters, and external stakeholders.

  • Ensure the office remains a professional, business-ready venue that supports operational requirements and executive activities.

  • Oversee essential office resources and vendor relationships, ensuring functionality and compliance.

  • Manage office-related budgets and financial processes, including invoice handling and expense monitoring. Be a principal responsible to manage the LatAm expenses budgets.

  • Participate in business continuity planning to minimize operational disruptions.

  • Lead or assist in special projects and high-profile events, ensuring flawless execution and alignment with corporate standards.


Qualifications

  • Bachelor’s Degree in Arts/Sciences (BA/BS) Business Administration, Management, or a related field required

  • 5+ Years of experience in Executive Assistance, Project Management, or Office Administration required

  • Experience managing office supplies, equipment maintenance, and vendor relationships required

  • Ability to manage multiple priorities, deadlines, and tasks with precision and efficiency. required

  • Excellent communication and stakeholder management abilities in English and Spanish. Advanced English. required

  • Proactive approach to identifying issues and anticipate needs and implementing practical solutions. required

  • Handles sensitive information with discretion and professionalism. required

  • Build strong relationships with internal teams, executives, and external partners. required

  • Capable of leading office-related projects and collaborating across departments. required

  • High level of discretion, professionalism, and problem-solving capability. required

  • Professional and client focused. Team player. required

  • Advanced proficiency in MS Office Suite and collaboration tools (Teams, SharePoint, etc.). required

  • Expertise in scheduling complex calendars and coordinating travel logistics. required

  • Financial acumen for budget tracking and expense management reporting systems. required

  • Understanding of BCP processes and ability to support emergency planning. required
