Overview
The Director of Enterprise Ambulatory Access will lead the operational execution oversight required to implement, optimize, and sustain access initiatives across the YNHHS/YM enterprise. This role serves as the owner of access priorities, integration, and outcomes, ensuring enterprise access strategy is translated into consistent operational execution across specialties.
Reporting directly to the YNHHS EVP and Chief Ambulatory Officer, the position is highly matrixed and accountable to a broad range of key stakeholders including YNHHS and YM executives, clinical leaders including YSM Chairs and Vice Chairs, and the YM and NEMG Board of Directors.
The Director is accountable for the end-to-end success of ambulatory access, from design, implementation, and optimization of access initiatives through sustained operations. This role oversees execution through the Access Optimization team (OAM), aligns priorities across ambulatory operations, clinical leadership, and enterprise stakeholders, and coordinates delivery with DTS (Information Technology) and other partners. While this role does not personally execute all work, it serves as the single point of accountability for sequencing, tradeoffs, performance, and delivery of access initiatives. The Director is responsible for identifying access opportunities through data and performance analytics and ensuring those insights are translated into prioritized optimization initiatives that drive sustained improvement. This role oversees execution through the Access Optimization team (OAM), aligns priorities across ambulatory operations, and is accountable for performance and delivery of ambulatory access initiatives. Other components that are relevant to access, such as program growth, geographic expansion, strategic recruitment, and space utilization are not within scope for this position. This role will:
Serve as the operational owner and project leader for access across the ambulatory enterprise.
Operate horizontally across ambulatory operations, Yale Medicine, enterprise access leadership, DTS, and clinical partners including YSM Chairs, Vice Chairs and division leaders.
Translate access strategy into executable, measurable operational plans.
Ensure access initiatives are prioritized, resourced, and delivered in alignment with enterprise standards.
Principal Responsibilities:
Ownership & Strategic Execution of Access Initiatives
Serves as the operational owner and project manager for access initiatives across ambulatory practices inclusive of YM, NEMG and provider-based locations.
Owns the access roadmap, priorities, and sequencing.
Partners closely with the Vice President of Ambulatory Operations and Vice President of Patient Connection Centers and clinical leadership (e.g., Chairs, medical directors, dyad partners) to align access priorities with enterprise and operational goals Project & Program Management.
Direct and oversees Access Optimization workstreams to ensure timely and effective execution.
Develops and maintains integrated timelines, workplans, milestones, and dependencies.
Tracks risks, issues, and decisions and escalates through established governance structures.
Coordinates work across DTS, the Care Center, ambulatory departments, analytics teams, and leadership forums.
Prepares executive level updates, dashboards, and governance materials for forums including Operational Access Management and Steering Committees level updates, dashboards, and governance materials for forums including Operational Access Management and Steering Committees.
Operational Performance & Optimization
Monitors specialty level access performance using established scorecards and dashboards level access performance using established scorecards and dashboards.
Leads specialty optimization reviews, including root cause analysis and remediation planning.
Ensures sustained performance across key access metrics, including lag days, book and fill rates, new patient access, self-scheduling adoption, and call center performance scheduling adoption, and call center performance.
Governance & Standardization
Supports template, visit type, decision tree, and referral governance in partnership with ambulatory, enterprise access, and clinical leadership.
Ensures consistency and adherence to enterprise access guardrails across specialties and access channels.
Manages change control and operational hand offs in collaboration with DTS and clinical teams.
DTS (IT) Alignment & Enterprise Integration
Serves as the primary liaison with ambulatory operations counterpart to DTS for access initiatives.
Aligns access priorities with DTS capacity, sequencing, and build timelines.
Resolves conflicts between operational requirements and technical constraints.
Ensures access initiatives are integrated into broader enterprise IT planning and delivery processes.
Completes other related responsibilities as assigned.
Required Skills and Abilities
1. Strong knowledge of ambulatory access operations, including scheduling, referral management, patient flow, and access performance metrics. Demonstrated ability to manage complex, cross‑functional initiatives in a matrixed healthcare environment.
2. Proven experience translating enterprise strategy into operational execution and sustained performance. Strong project and program management skills, including planning, prioritization, risk management, and escalation.
3. Ability to work effectively across operational, clinical, and technical teams, including Information Technology partners. Strong analytical skills with the ability to interpret performance data and drive operational improvement.
4. Excellent written and verbal communication skills, with the ability to prepare executive‑level materials.
5. Strong organizational skills and ability to manage multiple priorities in a fast‑paced environment. Demonstrated understanding of broader clinical practice operations, including provider workflows, clinic operations, staffing models, capacity management, and ambulatory practice performance.
Preferred Education and Experience
1. Bachelor’s degree in health administration, Business Administration, Public Health, or a related field required (master’s degree preferred).
2. Minimum of 7–10 years of experience in healthcare operations, ambulatory services, access, or related roles.
3. Demonstrated experience leading enterprise initiatives, optimization efforts, or large scale operational programs.
4. Proven experience partnering with matrixed teams (e.g., Information Technology teams, clinical operations, etc.) and managing operational and technical dependencies.
5. Proficiency with MS Office applications (inclusive of Excel, PowerPoint, and Visio), performance dashboards, and scheduling or Epic systems.
Principal Responsibilities
1. Directs one or more functional areas within an administrative department of the University and ensure compliance with University policies and procedures. 2. Directs analytic and research support for educational policies and planning and develops and approves administrative policies affecting assigned functional areas of the University. 3. Directs and establishes parameters for major projects for the department and University. 4. Interprets federal policies and regulations and educates staff and administration about regulations, restrictions, and the legal responsibilities of the University. 5. Directs and implements policy and program modifications and develops standards to ensure compliance with federal, state and local regulations. 6. Develops and administers an operating budget for the assigned department consistent with University policies and procedures. 7. Develops cost savings objectives and goals; authorizes major purchases and negotiates contracts that range from routine to complex in nature. 8. Establishes and implements long- and short-range goals for the functional area consistent with University goals and objectives. 9. Directs the development of related automated systems to support the function; determines office policies and procedures for use of automated systems. 10. Directs the evaluation and selection of vendors and negotiates contract details including work steps and pricing with the vendors on behalf of the assigned functional area. 11. Works with internal and external contacts to solve problems that range from routine to complex in nature. 12. Represents the University in discussions and negotiations with various governmental agencies. 13. Directs a staff of exempt and nonexempt employees. 14. May perform other duties as assigned.
