Position Summary:
The Trade Show & Marketing Operations Specialist is responsible for coordinating and executing major trade shows, customer events, and key marketing operations activities that support commercial priorities across the business. This role is central to keeping complex, high-visibility initiatives organized, on schedule, and moving forward across a wide range of internal teams and external partners.
This person will lead the detailed planning and coordination required to deliver best-in-class trade show execution, while also supporting foundational marketing operations work such as retailer content coordination, PIM-related activities, and other structured executional needs. The ideal candidate is highly organized, proactive, detail-oriented, and confident managing multiple moving pieces in a fast-paced, cross-functional environment.
Key Responsibilities:
Trade Show & Event Coordination
- Lead end-to-end planning and coordination for major trade shows, customer events, and industry activations, including timelines, milestones, logistics, vendor coordination, registration, shipping, asset tracking, and on-site readiness.
- Build and manage detailed project plans to keep all event workstreams on track and ensure deadlines are met.
- Coordinate with internal stakeholders across marketing, sales, product management, operations, procurement, and leadership to gather inputs, align deliverables, and drive follow-through.
- Manage event-related materials including booth assets, literature, samples, promotional items, signage, show services, installation and dismantle details, and travel coordination as needed.
- Monitor deadlines, surface risks early, and help problem-solve issues to ensure a high level of execution.
- Support event budget tracking, invoice coordination, and reconciliation activities.
Marketing Operations & Execution Support
- Support structured marketing operations activities tied to customer and channel needs, including retailer content coordination, PIM-related updates, and management of detailed product or marketing information.
- Maintain trackers, calendars, inventories, status documents, and other tools that improve visibility and execution across marketing initiatives.
- Help coordinate cross-functional deliverables tied to launches, customer programs, and channel-specific initiatives.
- Support the organization and management of marketing assets, files, and operational workflows.
- Assist in building post-event recaps, status updates, and execution summaries.
Cross-Functional Project Support
- Act as a strong execution partner who can keep multiple stakeholders aligned and accountable to timelines.
- Bring structure and follow-through to projects that involve many details and contributors.
- Help ensure the marketing team shows up prepared, polished, and ready to execute at a high level.
Minimum Qualifications:
- Bachelor's degree in marketing, communications, business, or related field preferred.
- 2--5 years of experience in marketing coordination, event planning, trade show management, marketing operations, or a related role.
- Proven ability to manage highly detailed projects with multiple stakeholders and deadlines.
- Strong project management and organizational skills.
- Excellent written and verbal communication skills.
- Strong proficiency in Microsoft Office, especially Excel and PowerPoint.
- Comfortable managing spreadsheets, trackers, systems, and detail-heavy workflows.
- Experience with trade shows, customer events, retailer portals, PIM systems, or marketing operations support is a plus.
- Willingness to travel to support trade shows and events as needed.
Knowledge, Skills & Abilities:
- Knowledge of trade show and event planning processes, including logistics coordination, vendor management, asset tracking, timelines, budgeting support, and on-site execution.
- Experience supporting or managing large-scale national trade shows, industry events, or customer-facing activations with multiple workstreams and tight deadlines strongly preferred.
- Strong project management skills, with the ability to coordinate multiple priorities, maintain detailed plans, and keep stakeholders aligned to deadlines and deliverables.
- Demonstrated ability to work effectively across cross-functional teams and follow through with clarity, persistence, and professionalism.
- Strong organizational skills and exceptional attention to detail.
- Ability to anticipate issues, identify risks early, and help drive timely resolution.
- Strong written and verbal communication skills, with the ability to communicate clearly across a range of audiences and functions.
- Ability to manage large amounts of information accurately across spreadsheets, trackers, systems, and project plans.
- Strong proficiency in Microsoft Office, including Excel, PowerPoint, and Outlook.
- Ability to adapt quickly in a fast-paced environment and manage competing priorities without losing focus or follow-through.
- Working knowledge of marketing operations, retailer content coordination, product information management, or other structured executional marketing processes is a plus.
