The Opportunity
Reporting to the Raw Material Supply Chain Replenishment Manager, the Raw Material Supply Chain Replenishment Coordinator will support the execution of import purchase order management across the company's ERP and tracking systems. This role ensures the accurate and timely entry of purchase orders and sea freight POs, maintenance of shipment status records, and verification of pre-arrival documentation. The Coordinator collaborates with suppliers, freight forwarders, quality assurance, and cross-functional teams to uphold data integrity and drive efficient ocean freight logistics operations.

What You'll Do
Purchase Order Entry & Sea Freight PO Management
- Review internal tracking sheets to identify orders requiring ERP entry, validate purchase contracts and item details, and create purchase orders in the ERP system with all required commercial and logistics information.
- Create and manage corresponding sea freight purchase orders for applicable inbound shipments using established naming conventions and templates.
- Attach supporting documentation to each order, monitor reporting dashboards to identify coverage gaps, and maintain accurate status records across all tracking and ERP systems.
Shipment Status Updates and Order Tracking
- Process shipping notifications and update tracking systems with key shipment milestones including container details, estimated departure and arrival dates, carrier information, and shipment status.
- Maintain accurate and up-to-date ERP records for each order, including vessel details, customs documentation status, and vendor confirmation.
Pre-Arrival Document Verification
- Receive, organize, and archive supplier shipping documents in the appropriate shared drives and ERP system.
- Verify all commercial and logistics documents against ERP entries and tracking records to confirm accuracy of quantities, pricing, product details, and shipment terms.
- Identify and resolve discrepancies in coordination with management and suppliers, and communicate any changes to relevant stakeholders.
What You Bring
- Post-secondary education in Supply Chain Management, Logistics, Business Administration, or a related field.
- 1-2 years of experience in supply chain management, preferably in an international manufacturing or food processing environment.
- Knowledge of international trade and ocean freight logistics, including incoterms, shipping documentation, and customs processes.
- Strong attention to detail with the ability to cross-reference data across multiple systems and identify discrepancies.
- Effective written and verbal communication skills for coordinating with suppliers, logistics providers, and internal teams.
- Ability to manage and prioritize a high volume of purchase orders across multiple suppliers simultaneously.
- Fluency in both English and Spanish (written and spoken).
- Experience with ERP systems, preferably Microsoft Dynamics NAV or Business Central, including purchase order creation and management.
- Proficiency with supply chain tracking and reporting tools such as spreadsheets, project management platforms, and business intelligence dashboards.
- Familiarity with food industry quality and regulatory requirements.
Working Conditions
- Full-time, permanent position, Monday to Friday, 40 hours per week
- Standard working hours aligned with Eastern Standard Time (EST), starting at 9:00 AM
- Fully remote initially, with a planned transition to a hybrid model once the corporate office in Guadalajara is finalized
- Work is primarily performed in an office setting (remote and on-site, as applicable)
- Minimal to moderate travel within Mexico may be required
