Why join us? DWF is looking for a hands‑on Workplace Services Officer to help look after our Melbourne office and support day‑to‑day office operations. This role is ideal for someone early in their facilities or workplace services career who enjoys being onsite in a corporate office set up, helping people, and making sure the office runs smoothly. You will be based in the office five days per week due to the practical nature of the role. You will work with the Facilities Leadership, the Office Partner in Charge, Australia Senior Leadership and HR to deliver a compliant, well-managed and engaging workplace experience for colleagues and visitors. Responsibilities Daily office support Help run the office day to day and be the first point of contact for workplace issues Support office reception services, meeting rooms, AV setup, mail and couriers Look after stationery, printing, kitchens, cleaning, waste and security Walk the office regularly to make sure it is clean, safe and presentable Report issues and help organise repairs and maintenance People, events & workplace experience Help organise office events and seasonal activities in coordination with the stakeholders Support colleague engagement activities within set budgets Help keep the office guides, procedures and manuals up to date Health & safety Support workplace health and safety activities such as inspections and checks Help with incident reporting, risk assessments and follow‑up actions Support fire warden, first aid and emergency preparedness activities Help coordinate emergency drills and keep safety records updated Suppliers & costs Manage supplier relationships and SLAs (cleaners, catering, stationery, maintenance and other suppliers) Track service work and follow up when issues need fixing Help process invoices and support budget tracking Follow company procurement and financial processes Office projects & assets Support office projects, refurbishments and office moves Work with landlords, building management and contractors Help keep asset lists, maintenance schedules and service records up to date Support contractor inductions, safety controls and permits Assist with business continuity planning and testing Reporting, space & sustainability Help prepare MIS reports on services and suppliers (dashboards, KPIs/SLAs and vendor evaluation reporting) Support space reviews and office layout improvements Assist with sustainability initiatives such as energy, waste and water reduction What will help you succeed in this role? At least 3 years’ experience in facilities or workplace support role in a corporate office environment Strong WHS capability: audits, inspections, risk assessments, incident investigation and reporting. Proven supplier management skills including negotiation and SLA administration. Working knowledge of building services/systems (MEP/HVAC) and experience coordinating with building management/technical teams/suppliers in organizing preventive maintenance and troubleshooting activities Strong focus on cost control and working within budgets with regular reporting Experienced in coordinating fit outs/refurbs/relocations with employees, contractors and landlords.
