Job Description:

We are seeking a detail-oriented and highly organized Onboarding Coordinator to support the end-to-end onboarding process for National Accounts, Office of the President, and Vendor Neutral programs. This role plays a critical part in ensuring a smooth and compliant onboarding experience for new hires while maintaining strong communication with recruiters, candidates, and internal stakeholders.

The ideal candidate is proactive, process-driven, comfortable managing high volumes, and experienced supporting U.S.-based business operations in a BPO or shared services environment.

What You’ll Do

o Manage the full onboarding lifecycle for candidates, including:

  • Drug screenings
  • Background checks
  • I-9 verification
  • Occupational health and medical testing
  • State and city compliance forms (as required)

o Maintain accurate onboarding trackers and reports

o Provide timely updates to recruiters and stakeholders regarding candidate onboarding status

o Coordinate and communicate with candidates through multiple channels including:

  • Phone calls
  • Email
  • SMS/Text messaging
  • MS Teams

o Ensure onboarding documentation is complete, accurate, and compliant

o Manage multiple onboarding files simultaneously while meeting turnaround expectations

o Handle system access requirements including password and ID management

o Access and monitor onboarding tasks/work orders through SharePoint and internal systems

o Support scheduling and coordination activities through Outlook and MS Teams

o Maintain professionalism during internal and external meetings and communications

Required Experience

o Minimum of 1-year BPO or shared services experience

o Experience supporting U.S.-based business operations or administrative processes

o Background in HR, payroll, benefits, onboarding, customer support, or related business processes is preferred but not required

o Prior experience working a graveyard/night shift

o Stable employment history with no frequent short-term job changes

Preferred Backgrounds

o Virtual Assistant experience

o Administrative or onboarding coordination experience

o Experience handling high-volume and detail-oriented work

Technical Skills

o Typing assessment will be conducted as part of the hiring process

o Proficiency in:

  • Microsoft Word – editing and creating documents
  • Microsoft Excel – updating reports and trackers
  • SharePoint – accessing work orders and tasks
  • Outlook – email and calendar management
  • MS Teams – initiating calls, video meetings, screen/content sharing, and virtual collaboration

o Professional presence in internal and external meetings

o Ability to work independently in a fast-paced environment

o Strong attention to detail and follow-through

Work Schedule & Setup

o Shifts may range between 8:00 AM – 9:00 PM EST, Mondays to Fridays

o Initial work arrangement is 100% onsite in Ayala Avenue, Makati

o Hybrid work setup may be considered after:

  • Minimum of 90 days onsite
  • Consistent performance and attendance
