This position is open for the right candidate to work from any of our Alberta-based locations including Edmonton, Calgary, Lethbridge, Canmore, and Grande Prairie.

ISL’s Proposal/Production Team supports all offices and all disciplines of business at ISL. Our objectives are to increase the win rate, delivering quality, creative and compliant proposals.

About the Role
ISL’s Proposal Coordinators thrive on tight deadlines, adding the final polish that helps us win exciting projects in transportation, municipal infrastructure, community development, water, environment, structures, landscape architecture, and community engagement. It’s work that shapes the places we live, work, and play.
While no two days will look the same, here is what you can expect to do:
Responsibilities:
Manage proposal workload and day to day coordination
Lead the coordination and preparation of proposals, including input on project resourcing and required skills
Maintain compliance with RFP requirements
Track progress and holds the team accountable
Align project resourcing with strategic goals, supporting cross office collaboration and effective resource allocation
Oversee project documentation standards to maintain consistency and accuracy while respecting regional differences
Lead projects to achieve quality delivery within budget and schedule, providing support on larger proposals as needed
Complete peer reviews to support high quality deliverables
Provide day to day leadership and support to staff
Mentor and trains staff, fostering continuous learning and professional growth
Conduct regular check ins to support performance, feedback, and development
Support recruitment and onboarding of new staff
Foster a positive work environment that supports work life balance, team cohesion, and continuous improvement

You seamlessly can integrate into diverse proposal teams, you adapt your communication style to work collaboratively with a range of personalities and workflows.
Your strong understanding of both business and client needs allows you to translate complex technical language into clear, compelling, client-focused proposals.
Confident in taking initiative, you independently identify and resolve challenges, and your curious demeanour ensures you ask timely, insightful questions to achieve successful outcomes.
Your application should show us:
10+ years of experience in proposal coordination where multiple partners were involved preferably in a consulting engineering and/or architectural environment.
Knowledgeable of the RFP process and proposal lifecycle.
An indication of the scope and magnitude of proposals you have worked on coordinating.
Strong leadership capabilities with demonstrated experience leading a team of professionals.
Post secondary education in a relevant field.
Ability to write to the requirements of RFP.
Interest in AI and emerging technologies to support strategy that may result in improved workflows and efficiencies in Proposal Coordination.
Strong knowledge and experience using Microsoft Office (Word, Excel, PowerPoint, Copilot.) with a proven ability to understand the creation and use of templates.
Bonus:
Understanding of municipal RFP processes is a definite asset.
Experience in an AEC related industry would be an asset.
