Job Description Summary

We are seeking a detail-oriented and proactive Payroll Specialist to support payroll operations across Singapore and Malaysia. The role is responsible for ensuring accurate and timely payroll processing, statutory compliance, payroll vendor management, tax reporting, audit support, and payroll-related financial administration. The successful candidate will work closely with HR, Finance, and external payroll providers to deliver seamless payroll services while ensuring compliance with local regulations and company policies. This role requires strong payroll knowledge, excellent attention to detail, and the ability to manage multiple priorities in a dynamic, multinational environment.

Job Description

About The role:

  • Manage end-to-end payroll processing for Malaysia employees, ensuring accuracy, compliance, and timely payroll execution through external payroll vendors.

  • Handle payroll activities for Singapore leavers, including full and final settlement calculations, off-cycle payments, and payroll adjustments.

  • Validate and support statutory payroll compliance requirements, including CPF contributions, IR8A submissions for Singapore, and EA Form reporting for Malaysia.

  • Coordinate with payroll vendors to process tax clearance (IR21) applications for foreign employees exiting the organization and ensure timely completion.

  • Support annual payroll audits by preparing, validating, and providing payroll-related documentation and reports.

  • Manage payroll-related invoices, reconciliations, and vendor payment processes across Singapore and Malaysia payroll operations.

  • Ensure payroll data accuracy and compliance with local employment, tax, and statutory regulations.

  • Partner with HR, Finance, and payroll vendors to resolve payroll queries and discrepancies in a timely manner.

  • Maintain payroll records, documentation, and process controls to support governance and audit requirements.

  • Contribute to payroll process improvements, operational efficiency initiatives, and other ad hoc projects as required.

About You:

  • Proven experience in payroll administration, with hands-on exposure to Singapore and/or Malaysia payroll processing.

  • Strong understanding of payroll legislation, statutory requirements, and tax compliance, including CPF, IR8A, IR21, and EA Forms.

  • Experience working with third-party payroll vendors and managing payroll queries, escalations, and compliance-related activities.

  • Detail-oriented with strong analytical and problem-solving skills, ensuring high levels of payroll accuracy and compliance.

  • Ability to manage payroll deadlines, prioritize multiple tasks, and work effectively in a fast-paced environment.

  • Strong numerical aptitude and proficiency in payroll systems, HRIS platforms, and Microsoft Excel.

  • Excellent communication and stakeholder management skills, with the ability to collaborate across HR, Finance, and external vendors.

  • Experience supporting payroll audits, reconciliations, and payroll-related financial processes.

  • High level of integrity and discretion when handling confidential employee and payroll information.

  • Proactive, organized, and committed to continuous process improvement and operational excellence.
