Responsibilities:

Ensure the proper management, flow, and safety of a company's files. Handle the receipt, review, logging, distribution, tracking, and archiving of records. Maintain accuracy and ensure the correct, latest version of a document is available to the right people.

The responsibilities of a Document Controller can be categorized into these core areas:

1. Document Management & Flow

  • Processing: Receiving, logging, and distributing incoming documents (e.g., contracts, architectural drawings, manuals).
  • Tracking: Assigning unique identification codes, updating master registers, and utilizing Document Management Systems (DMS).
  • Naming Conventions: Enforcing strict file-naming rules to ensure items can be easily searched and retrieved

2. Version Control & Security

  • Version Control: Ensuring all users have access to the latest approved versions and that outdated/obsolete documents are securely archived or destroyed.
  • Confidentiality: Maintaining access controls to protect proprietary designs and sensitive company data.

3. Compliance & Auditing

  • Standards: Ensuring all documentation complies with regulatory standards and internal Standard Operating Procedures (SOPs).
  • Audit Preparation: Helping to compile reports and documents for internal and external quality audits (such as ISO 9001).

4. Communication & Coordination

  • Liaison: Communicating between project teams, departments (e.g., Engineering, Quality Assurance), and external vendors.
  • Reporting: Providing regular status reports and transmittals (document distribution lists) to management.
