Office Operations Coordinator
Schedule: Monday–Friday, 8am–5pm EST | Location: Fully Onsite
- Serve as the main on-site receptionist: greeting guests, answering/directing calls, and setting a polished tone for our headquarters.
- Maintain a clean, welcoming, and brand-aligned front office and reception area.
- Coordinate mail, packages, and deliveries with Compliance, Tech, and Operations staff.
- Liaise with vendors, IT, and property management as needed.
- Act as Executive Assistant to select members of the Executive Team, helping manage scheduling, logistics, and project follow-ups.
- Prepare meeting spaces, coordinate hospitality and catering, and support logistics for client visits and company events.
- Assist in managing venue contracts, travel booking, and guest services for company meetings and VIPs.
- Partner with the Chief of Staff team to support internal communications, marketing projects, and strategic initiatives.
- Serve as a “second set of eyes” for proofreading and content quality control across internal and external materials.
- Create presentation decks and communication pieces using brand templates.
- Assist with basic market research, data gathering, and project coordination for marketing and HR campaigns.
- Support company initiatives like RSi Cares, leadership development programs, employee events, and communications rollouts.
- Manage company swag inventory and oversee fulfillment using our online store dashboard.
- Perform other related duties as assigned.
- At least 7-10 years of experience in client-facing or administrative roles—ideally in office management, human resources, retail customer service, business operations, and/or marketing.
- A natural communicator with exceptional attention to detail and strong proofreading skills.
- Polished, professional demeanor with a warm and approachable personality.
- Excellent multitasker—able to manage competing priorities with calm and grace.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook), database and reporting systems; experience with Canva, AI tools, or other marketing apps is a plus.
- A problem-solver who thrives in a dynamic, team-focused environment.
- Bachelor’s degree in business, marketing, psychology, human resources, or similar preferred.
