Job Description

Overview:  This position coordinates the resort retail purchase order, sales order and inventory control systems with all retail venues.  It also assists with the management of the resort retail budget system, as well monthly retail analysis meetings. Responsible for employee training, inventory control, merchandising, product ordering and selection, and the opening and closing of the retail stores.   Essential Functions:  Manage and input all retail purchase orders into retail point of sales system (RTP), as well as accounts payable system (Birchstreet). Coordinate and generating and allocation of all pricing labels to all retail outlets. Coordinate with each retail venue the collection of all packing lists as product is received by the store. Communicate all mis-ships with vendors directly, and manage return authorizations, as well as credit memos with vendor and accounts payables. Receive all product into the retail point of sale and the accounts payable system Confirm all invoices submitted through the accounting department with the packing lists submitted by the retail stores. Maintains internal retail budget of invoices and credit that have been submitted to accounting and tie out end of month profit and loss statements using internal retail budget. Manages monthly inventory and sales spreadsheets that will be submitted for monthly sales and inventory analysis meetings. Coordinates monthly, quarterly, and annual inventories with each retail shop. Ensures all inventories are at a 2% or less variance and communicates to Director of Retail if variance is higher than projected 2%. Submits all monthly inventories to Accounting by the 1st of every month, must be flexible with schedule to accommodate these deadlines. Runs inventory variance reports on a regular basis and researches variances that these reports manifest. Assist in covering lunch and break schedule in all hotel retail stores. Assists in purchasing of all operational material including but not limited to shopping bags, pricing labels, pricing tags, pricing guns, wrapping paper, tissue paper, gift boxes and basic office supplies. Responsible for management of daily replenishment of back stocked product to the sales floor. Assists with store displays around the Resort. Ensure the store will maintain a clean atmosphere by adhering to an established cleaning schedule. Completes purchase orders in a timely fashion and ensures that items are purchased at correct times, so inventories are not low, unless end of season. Ensuring all employees have completed all end of shift duties. Responsible for the opening and closing procedures of the stores. Establishes store procedures, ensuring all the above tasks are performed in a timely fashion. Sets the exemplary role of Specialty Retail Service. Ensures the number one priority of all sales associates is the customer and customer service. Coordinates and responsible for the Moments of Service month audits. Qualifications: Accounting background, with excel knowledge is required. Accounts payable, end of month, inventory control & general ledger experience preferred. Attention to detail a must. Must have excellent interpersonal skills. Must provide excellent service to internal and external customers. Must have excellent oral and written communication skills.  Must be available to work flexible hours to include nights, weekends, and holidays.
