THE POSITION
The Safety & Security Planning Coordinator supports the Senior Manager, Safety & Security Planning and Operations in the delivery of integrated planning, coordination and operational readiness activities for the FIFA Women’s World Cup 2027™.
The role provides structured project coordination, administrative and communication support across the Safety & Security department, acting as a central point for task tracking, documentation management and inter-functional communication. The position ensures that planning processes are organised, documented and delivered to a high professional standard in both Portuguese and English.
The Coordinator contributes to departmental efficiency, consistency and quality by preparing high-standard materials, tracking central deliverables and supporting cross-functional collaboration throughout all phases of the tournament.
• Support the Senior Manager in coordinating the integrated operational planning process across stadiums, non-competition sites and ancillary events
• Act as a central coordination point for planning-related tasks within the Safety & Security department
• Track central task completion, deadlines and deliverables across workstreams, ensuring visibility and timely follow-up
• Support communication between the Safety & Security function and other FIFA functional areas
• Prepare, coordinate and document planning meetings, including agenda preparation, minute-taking and follow-up action tracking
• Draft and format planning documents, reports, presentations and briefing materials in both Portuguese and English
• Provide small translation tasks as required to ensure clarity and consistency across bilingual documentation and/or in meetings
• Prepare high-quality materials in Word, Excel and PowerPoint to support senior management and departmental reporting
• Maintain structured documentation control, version management and file organisation across planning workstreams
• Provide general administrative support to the Senior Manager and the wider Safety & Security department
• Support preparation of operational frameworks, planning matrices and readiness tracking tools
• Assist in the preparation of procurement documentation, scopes of work and planning summaries where required
• Contribute to the consolidation of information for reporting to senior leadership and external stakeholders
• Provide flexible support to other Safety & Security workstreams as required during peak planning and operational phases

YOUR PROFILE
- Education
• Higher education in project management, business administration, security management or a related field
• Certification or training in project coordination, administration or a security-relevant field is desirable
- Experience
• Minimum 3 years of experience in project coordination, planning support or administrative roles within complex operational environments; alternatively comparable experience in a security-relevant field
• Experience supporting multi-stakeholder planning processes
• Experience preparing professional documentation and presentations for senior management
• Experience working in bilingual (Portuguese–English) environments is highly desirable
