Location - This role is in-person at North Campus Edmonton.

The Faculty of Nursing at the University of Alberta is seeking a highly organized, collaborative, and detail-oriented Clinical Placement Administrator to support the coordination and administration of undergraduate student clinical placements.

This position plays a key role in supporting the systems, processes, and partnerships that make student clinical learning possible. Working closely with the Clinical Placement Coordinators and a broad range of internal and external partners, the Clinical Placement Administrator supports placement logistics, system administration, clinical access and IT requirements, and a variety of related student placement processes.

The role also provides administrative support to the clinical placement team and contributes to reporting, documentation, communication, and workflow coordination in a fast-paced and highly collaborative environment.

  • Coordinate and maintain student clinical placements using systems such as HSPnet, ensuring accuracy, timeliness, and alignment with academic requirements
  • Support the setup and administration of clinical rotations, including placement assignments, scheduling coordination, and data management
  • Liaise with clinical agency partners and internal stakeholders to support placement requests, confirmations, and ongoing communication
  • Coordinate clinical access requirements, including IT systems (e.g., ConnectCare), training, and site-specific onboarding processes
  • Respond to student and instructor inquiries related to placements, systems, and clinical requirements
  • Track and support student placement needs, including accommodations, out-of-sequence placements, and special requests
  • Assist with placement selection processes by collecting, organizing, and summarizing student and placement data
  • Maintain accurate records, reports, and documentation to support planning, reporting, and accreditation requirements
  • Support incident reporting and related administrative processes, ensuring alignment with established protocols
  • Contribute to ongoing coordination of placement-related activities, including scheduling, communications, and administrative workflows
  • Build and maintain effective working relationships with students, faculty, staff, and external partners
  • Bachelor’s degree required
  • Minimum of 2 years of related experience in student services, academic administration, clinical placement, practicum coordination, or a related area
  • Equivalent combinations of education and experience may be considered
  • Strong organizational and administrative skills, with the ability to manage multiple priorities, deadlines, and competing demands in a fast-paced environment while maintaining a high degree of accuracy and attention to detail
  • Excellent verbal, written, and interpersonal communication skills, with the ability to build and maintain positive, professional working relationships with students, faculty, staff, and external partners
  • Demonstrated ability to work independently, exercise sound judgment, and apply critical thinking to support effective problem-solving and decision-making in a complex administrative environment
  • Strong client service orientation, with the ability to respond to a broad range of inquiries and support diverse stakeholders in a professional and respectful manner
  • Experience working with administrative systems, databases, and reporting tools; preference will be given to candidates with experience using HSPnet, Campus Solutions/PeopleSoft, Canvas, Microsoft Office, and Google Workspace
  • Demonstrated ability to manage confidential and sensitive information with discretion and in accordance with privacy, records management, and institutional requirements
  • Familiarity with post-secondary environments, student-facing administrative processes, and/or healthcare or practicum-based learning environments would be considered an asset
