
Office Manager & Customer Operations Specialist
Job Description
We are hiring an Office Manager & Customer Operations Specialist in Riga to independently manage day‑to‑day office operations, coordination, and compliance in a fast‑paced environment. If you are fluent in Latvian, Russian, and English and thrive on ownership, organization, and professional communication, we’d love to hear from you.
This is a unique hybrid role combining office management responsibilities with customer operations support. The role is ideal for a hands-on, service-minded person who enjoys variety, structure, communication, and taking ownership. Part of the role focuses on keeping the Latvia office running smoothly, while the other part supports customers through digital and phone communication channels.
The role is expected to be approximately 50% office management and 50% customer operations, depending on business needs.
Experience or strong capability in office administration and coordination, including day-to-day office management, facility coordination, procurement of office supplies, service provider communication, and support for employee onboarding.
High sense of responsibility and ownership, with the ability to manage office-related processes independently, ensure deadlines are met, and follow up on agreements, contracts, certifications, and documentation.
Strong customer service and communication skills, with the ability to respond professionally across multiple channels, including phone, email, chat, WhatsApp, Messenger, and other approved platforms.
Good understanding of compliance, confidentiality, and regulatory requirements, including GDPR, office safety, occupational health and safety, fire safety, first aid training coordination, and handling sensitive customer or employee-related information.
Ability to work with state institutions and external partners, including preparing or responding to official letters and representing the company when required in cooperation with police, courts, landlords, building services, archiving companies, and other partners.
Strong multitasking and organizational skills, with the ability to manage both office management responsibilities and customer operations tasks in a fast-paced environment.
Problem-solving mindset, with the ability to resolve standard customer or office-related issues independently and escalate complex or sensitive cases with proper documentation and follow-up.
Fluent communication skills in Latvian, Russian, and English, both written and spoken, with the ability to communicate professionally with customers, employees, service providers, cooperation partners, and state institutions.
