The Administrator, Student Health Insurance Plan (SHIP), provides strategic and operational leadership for the administration of Belmont University’s student health insurance program. This position is responsible for the administration, compliance, and operational oversight of the University’s student health insurance program, requiring independent judgment, applied employee‑benefits expertise, and coordination across multiple functional areas to ensure accurate enrollment, regulatory compliance, financial integrity, and effective service delivery. The Administrator ensures accurate and timely enrollment and waiver processing, maintains compliance with institutional and insurance‑provider requirements, and coordinates effectively with internal partners and external vendors. The role supports student wellbeing and institutional retention by ensuring uninterrupted health coverage, delivering high‑quality customer service to students and families, and safeguarding the accuracy of eligibility, billing, and reconciliation processes across university systems. Primary position responsibilities: Manage SHIP enrollment, waiver processing, and eligibility updates The Administrator provides strategic leadership and operational oversight for the SHIP program throughout the academic year. This includes proactively managing enrollment, waiver processing, appeals, and special cases across all eligible student populations to ensure continuous coverage and institutional compliance. The role requires maintaining accurate and current records within insurance vendor systems, verifying eligibility status, and ensuring mandatory coverage for all Belmont students, including international and special-status cohorts. The Administrator also conducts ongoing process reviews, identifies opportunities to enhance efficiency, and implements upgraded systems or vendor solutions to support operational improvements. Complementing these efforts, the Administrator prepares detailed reports on enrollment trends, waiver submissions, appeal outcomes, exceptions, and plan utilization to guide institutional decision-making and strategic planning. This holistic approach draws on demonstrated best practices and supports Belmont’s mission of student wellbeing and academic success. Coordinate SHIP communications and provide student/parent support The Administrator develops and delivers clear, timely, and accessible communications to ensure students and families understand SHIP enrollment timelines, coverage provisions, waiver requirements, and associated billing procedures. This role prepares and updates content for email campaigns, web pages, and informational materials, and collaborates with campus partners to ensure consistency and accuracy across all communication channels. Serving as the primary point of contact for the SHIP program, the Administrator provides responsive, service‑oriented support to students, parents, and university personnel, offering guidance, clarifying requirements, and helping individuals navigate the insurance process with confidence and care. The Administrator will also maintain SHIP web content, update procedural documentation, and ensure accuracy of online resources. Administer SHIP billing and financial reconciliation The Administrator oversees SHIP billing and reconciliation with precision and accountability, ensuring seamless financial operations in line with Belmont’s standards. This role oversees the accurate posting and removal of insurance charges on student accounts, collaborates closely with Student Accounts and teams to align enrollment data with vendor records, and conducts thorough reconciliations of billing statements against vendor rosters. Drawing on best practices from peer institutions, the Administrator also investigates and resolves discrepancies, whether from late enrollment changes, waiver approvals, or appeals, ensuring timely financial adjustments and maintaining fiscal integrity. Through proactive oversight, attention to detail, and responsive support, this position safeguards the accuracy of SHIP-related billing and upholds Belmont’s commitment to transparent, student‑focused financial stewardship. Vendor, campus partner, and compliance coordination The Administrator cultivates and sustains strong partnerships across campus and with external insurance vendors, ensuring seamless coordination and policy alignment for the SHIP program. As the primary liaison to insurance carriers, the Registrar’s Office, Student Accounts, Health Services, and other key departments, the Administrator leads the SHIP Committee to collaboratively review insurance policy changes, address contract issues, and resolve claim appeals. Drawing on best practices from peer institutions, this role facilitates committee meetings, assesses operational impacts of proposed vendor updates, and coordinates implementation standards to maintain accuracy and compliance. Through proactive engagement and cross-functional collaboration, the Administrator ensures that SHIP policies remain current, data integrity is upheld, and Belmont’s commitment to operational excellence and student wellbeing is consistently realized. Belmont Central Operational Support Provide flexible, as-needed operational support to Belmont Central during high-volume or peak service periods (e.g., start of term, enrollment deadlines, peak advising times). Assist with front-line service functions such as triaging student inquiries, supporting intake processes, directing students to appropriate resources, and helping maintain service flow efficiency. Collaborate with Student Flourishing Operations Manager to anticipate high-demand periods and align support coverage accordingly. Contribute to a positive student experience by ensuring timely, accurate, and student-centered service delivery during critical periods.
