Executive Operations & Events Manager
Jacksonville, FL | Full-Time | $75,000 - $85,000
Some people wait for instructions.
Others walk into a situation, identify what needs to happen, organize the moving pieces, solve problems before they become problems, and ensure everything gets done without being asked twice.
We're looking for the second person.
At RISE, this role sits at the center of executive operations, travel, meetings, events, and high-priority business initiatives. You will work directly with company partners and leadership, becoming the person who ensures important priorities move forward and complex logistics are executed flawlessly.
One day you may be coordinating executive travel across multiple cities. The next, you may be planning a leadership retreat, managing vendors for a company event, preparing executives for important meetings, or leveraging AI tools to automate a process that currently wastes hours every week.
This is not a traditional administrative assistant position.
We are not looking for someone to learn executive support, event management, travel coordination, or operational logistics. We are looking for someone who has already done
those things successfully and is ready to take ownership at a higher level.
What You'll Own
- Executive operations and support for company partners and leadership
- Complex calendars, scheduling, travel, and logistics
- Corporate travel programs, conferences, recruiting travel, and executive itineraries
- Leadership retreats, company meetings, conferences, and special events
- End-to-end event execution—from planning and vendor coordination to onsite management and post-event follow-up
- Vendor relationships, contracts, budgeting, invoicing, and operational logistics
- Executive meeting preparation, agendas, presentations, and follow-through
- High-priority projects and special initiatives that require organization, accountability, and execution
- Building systems, playbooks, and processes that help the organization scale
- Identifying opportunities to automate work, eliminate inefficiencies, and improve execution through AI and technology
AI & Technology Matter Here
We believe exceptional operators leverage technology to create leverage.
You should already be comfortable using AI tools such as ChatGPT, Claude, Gemini, Perplexity, or similar platforms to improve planning, communication, research, documentation, meeting preparation, project management, and operational efficiency.
We're looking for someone who naturally asks:
"Is there a smarter way to do this?"
and then builds it.
This Role Is Probably Right for You If...
- You've supported executives, business owners, founders, or senior leadership teams before
- You've independently coordinated complex travel, meetings, and events without requiring step-by-step direction
- You've managed vendors, contracts, budgets, and logistics from planning through execution
- You're known as the person who gets things done
- You think several steps ahead and proactively solve problems
- You can manage multiple priorities without losing track of details
- You're highly organized, resourceful, and comfortable operating independently
- You embrace technology and actively use AI to improve how you work
This Role Is Probably Not Right for You If...
- You're looking for a traditional administrative assistant role
- Most of your experience has been limited to calendar management and basic scheduling
- You require extensive training in executive support, travel coordination, logistics, or event planning
- You're uncomfortable making decisions and operating with a high degree of ownership
- You prefer highly structured environments with narrowly defined responsibilities
- You are not actively using AI tools as part of your workflow
Qualifications
- 5+ years of experience in executive support, operations, hospitality, event management, project coordination, or a related role
- Experience planning and executing corporate meetings, retreats, conferences, or business events
- Experience coordinating complex travel and executive logistics
- Experience managing vendors, budgets, contracts, and operational processes
- Strong communication, organizational, and project management skills
- Proficiency with Microsoft Office, modern workplace technology, and AI-powered productivity tools
If you're the person everyone relies on when something important needs to get done, we'd like to meet you.
Pay Range: $75,000 - $85,000 per year
